Patent Records Data Migration with Digital Transformation

The Peritus Health leadership team approached NewRedo for help with data migration software to move away from an existing off the shelf system that was a poor fit for their needs. They faced challenges including inefficient workflows, lack of customisation, data integrity issues, limited reporting and analysis capabilities, integration challenges, scalability limitations and user adoption difficulties. They wanted to find an IT system that aligned with their specific requirements, focusing on customisation, data integrity, reporting capabilities, integration options, scalability, and user-friendliness. A change was needed and the first challenge was to look after their customers' data while migrating away from the incumbent supplier's product. A replacement data migration software could then be built specifically around their needs.

Project Challenge

The project presented a significant challenge, as it required taking the data from an existing supplier system and creating a new custom-built project from scratch. The team had to work with information provided by the client, as well as the existing components from the off-the-shelf system. In order to complete this task bespoke data migration software was designed implementing a two-stage process: first, the data had to be sanitised, restructured and securely transferred, and then the web application system build could start. Throughout the process, the team had to consider the sensitivity of the information and data being transferred.

Our Solution

To ensure the highest level of security and process governance an experienced team was formed to manage and implement the data migration software and then design and build a replacement clinical system. They created specific tooling around a data pipeline that extracted and transformed records from the legacy system into human-readable documents. These documents were then sanitised and stored, searched, and retrieved from a new data repository. The team also took into account security best practices when creating a database for processing and delivering the data, while allowing the data structure to evolve. To build the new tailored system the team worked with the Peritus stakeholders to discover and collaborate over the needs after closely analysing the business goals and project objectives both short and long term. Following this phase tools and technologies that best fit the Peritus business needs and operations were selected. The first phase of the system was developed as a web application running in the cloud with features being deployed every few days in order to gather ongoing stakeholder feedback and maximise value delivered.

Positive Customer Outcome

The team's focus on security and transformation processing capability ensured that the sensitive information and data being transferred across the systems was protected. The new system created by the team has improved record-keeping, increased efficiency, and saved costs for Peritus Health Management by being more closely optimised for their business objectives, workflow and customer needs. Overall, despite the data migration software challenges and the need to build a new clinical system, the project was a resounding success. Business continuity was maintained and the new functionality provided an uplift in appointment throughput and patient recalls. Since its completion, the system has supported the growth of the Peritus Health business and NewRedo continues to extend its functionality and solidify its position as a differentiating asset.
